Change Outlook email signature: Here's how

If you want to change your Outlook email signature, you can do so either for individual emails or for all outgoing messages. Both options can be reached with just a few clicks - we'll show you how to do it.

Microsoft Outlook gives you numerous options when it comes to creating or changing an email signature.

Create and change Outlook signature for all outgoing emails

Proceed in order:
  1. Create a new message and click on the “Message” tab under “Insert” on “Signature” and then on “Signatures”.
  2. Click on “New” under “Select signature for editing”. In the “New Signature” dialog box, you can enter a name for your signature, for example “Private Signature” for private e-mails or “Business Signature” for business e-mails.
  3. Under "Select standard signature", you specify the mail accounts for which the signature is to be applied and whether the signature should be automatically attached to all outgoing emails.
  4. You can also set individual signatures for reply e-mails or forwards. This option can be found under "Replies / Forwards".
  5. Under "Edit signature" you can create a new signature or change existing ones. Here you have all options, starting with the text content up to numerous formatting options such as font, color and attached images such as company logos.

Change Outlook email signature: also possible manually in individual emails

Alternatively, you can also insert signatures manually into individual mails. To do this, click on "Signature" under "Include" when creating the mail. Now you will be shown all the created signatures and you can select the signature you want.
You can also change your Outlook email signature this way. As soon as you have selected the signature you want, it will appear at the end of your email. There you can change the text as you wish.
